Signing Up Your Swimmer for Meets
Every meet — intrasquad time trials, regular season dual meets, and post-season meets — requires a Swimtopia sign-up for each swimmer in your family. This is the only way coaches know whether your swimmer is in or out for each meet. We'll send reminders to sign up ahead of each meet, but here are the three things to know going in:
- If you want to swim, you must sign up. Swimmers who aren't signed up show as "Undeclared" — which means coaches have no information at all and will plan the meet without them.
- Sign-ups close at noon the day before each meet. The deadline is posted with each meet listing in Swimtopia. This gives coaches time to finalize entries before meet day.
- Once sign-ups close, if you signed up, you're expected to swim. Last-minute no-shows create real scrambling, especially around relays. If something comes up after the deadline, let the coaches know as soon as possible so they can adjust the line-up.
Not attending? Please say so. Selecting "Not attending this meet" is genuinely helpful — it tells coaches you've seen the meet and intentionally opted out.
What You're Signing Up For
When you sign up for a meet, you'll fill out a few things for each swimmer in your family:
- Attendance — "Attending this meet" or "Not attending this meet." This is the most important step. Please respond one way or the other for every meet, every swimmer.
- Event preferences — up to three individual events your swimmer would like to swim. Coaches take preferences into account but make final decisions on individual and relay entries based on what they think is best for each swimmer and the team. Each swimmer can swim a maximum of four events per meet (either 2 individual + 2 relay, or 3 individual + 1 relay).
-
Relay availability — choose one of the following:
- Available for all relays
- Arriving late, not available for early relays
- Leaving early, not available for late relays
- Not available for any relays
- Notes to the coaching staff — anything coaches should know ahead of the meet (an injury, a stroke your swimmer wants to try, a scheduling constraint).
While you're in Swimtopia signing up for a meet, it's also a great time to check open volunteer slots. See our Volunteer page to learn more.
